Onboarding

Orientation to a new job, family, friends, and environment can be daunting. There are many people at PNWU willing and able to help you so don’t hesitate to ask. Prior to your first day, please read the information below and complete the required forms. Watch for important emails from PNWU HR, CERTIPHI, and Paylocity.

Background Check and Drug Screen

Background checks are conducted at no charge to you and must be completed (3) days prior to the start date. You will receive an email from CERTIPHI who conducts the background checks for PNWU. Please respond and follow the instructions in the email.

Urine Drug Screen – for those hired in the Yakima campus area

Satisfactory completion of a urine drug screen is required for all employees. HR will give you 3 days’ notice to report for a urine drug screen to be completed at Yakima Worker Care Clinic, 409 S 12th  Avenue,  Yakima, WA, 98902. They are open Monday—Friday, 8:00 – 5:00. Please allow 15-30 minutes to complete the process and no appointment is necessary.

You will receive an email from CERTIPHI with testing instructions. Please follow these instructions promptly or the test will expire.

Enrollment Paperwork

You will receive an email from Paylocity that will instruct you how to begin the onboarding process. Please respond promptly and follow the steps to ensure you are ready to start on your designated date and time.

Payroll

Pay dates are every other Friday and it’s based on ten work days. There is a pay period time lag on all paychecks. For example, work on 07/03/2023 – 07/15/2023 is paid on 07/28/2023.

Once you are fully onboarded and hired in the system you will receive a notification email. Using our self-service system, you’ll be able to pick up your pay stubs and W2, request time off, submit a timesheet (for hourly employees) and update your demographic information.

Name Badge

After completing the required forms above, security will issue a temporary badge for your use. You will be instructed to have a professional photo taken and they will provide the photo to PNWU security within four days of the photo session. Your badge will be completed at this time.

Affiliate appointments are intended to recognize professional contributions to the University by an individual whose principal employment lies outside the University. Affiliate appointments require the same qualifications as those required for faculty appointment to the corresponding rank. Affiliate appointments are not benefit eligible and are limited for a maximum of one year. Affiliate appointments are recommended by the appropriate academic departments and approved by the dean and appointed rank by the president as affiliate assistant professor, affiliate associate professor, or affiliate professor, depending upon the qualifications of the appointees. Affiliate faculty must go through an abbreviated process with HR before being cleared for assignment. This includes a background check, appropriate licensure verification, CV review, and references.

PNWU utilizes guest lecturers in their area of expertise to enhance the curriculum and educational experience for the students. If you are interested in lecturing or have already agreed to do so, please complete the following documents and return them with a copy of your curriculum vitae.

PNWU employs students as tutors, small group tutors, recitations leaders, teacher’s assistants, research assistants, library assistants and IT classroom liaisons.

HR needs to enroll you on payroll so please complete the onboarding module through Paylocity. You will have received an email from Paylocity to do so.

Once HR receives your completed onboarding, you will be enrolled for student employment.

Time and attendance is managed by an electronic system within Paylocity. Once you are fully onboarded and hired in the system you can access the system. You can pick up your pay stubs and W2, request time off, submit a timesheet (for hourly employees), update your information and much more within Paylocity.

SPECIAL INSTRUCTIONS for TUTORING POSITIONS – When you enter your work time, you will:

  • “Hourly”: $15.74/hour for tutoring 1 student
    • For 1:1 tutoring work enter your start and end time in time card.
    • Choose “Student Affairs” for the department if it is not already the default under the cost center selections drop down menu.
    • “Small Group”:  $17.75, for small groups, for groups of 2-5 students
    • “Recitation”:  $21.25

    For Small Group and Recitation tutoring work, log grand total hours for the day and make a note of time in the notes section in the time card. Under the transfer column, select the correct department that you will be charging the hours to if Student Affairs is not already the default cost center.

Note:  You are paid for the time in session, prep time is not included

 

New Health Insurance Market Information & Required Notice

Welcome student interns! Please read the information below and complete the required forms prior to your first day at PNWU. Some forms are electronically submitted to the appropriate party, others need to be completed and returned to HR via email, fax, or US mail (contact information below).

Please also return the following documents with your paperwork:

  1. Resume or curriculum vitae with current contact information
  2. HIPAA Certification – to be completed at home institution
  3. Human Subjects Certification – if working with human subjects
  4. Copy of current immunizations

All paid interns must complete an employment application.
